Affected users: Primarily Medical Office Administrators (MOA) and reception staff during the appointment booking and patient check-in process.
Task affected: Occurs immediately upon opening a patient chart or during the appointment booking flow when the Memo pop-up appears. Currently, the black-on-white text is easily overlooked or dismissed.
Impact: Moderate to high. Important clinical or administrative instructions (e.g., "Patient requires an interpreter," "Outstanding balance," or "Behavioral alerts") are frequently missed because the current pop-up lacks visual urgency. Color-coding would ensure these critical notes are read before the user closes the window.
Current state: The Memo displays as a standard black-on-white pop-up. Users often close it by reflex without processing the content. There is currently no way to categorize memos by severity or visual importance.
Competition consideration: Most modern EMR/PMS systems use color-coded "sticky notes" or headers (Yellow for caution, Red for critical) to differentiate types of patient alerts.
