Task Rework

TASK REWORK

  1. Sharing Tasks should be automatically displayed instead of an admin giving privileges. If tasks are visible to users within a patient chart, then it should NOT be more difficult to view a task that another user created. If a user (perhaps administrator) is sick then it would be more difficult for other users to see their inbox; which is potentially dangerous.

    1. Instead of "Share With" > Change the name to "Inbox for". Default show ALL users within this column. Allowing another user to see a Task that was created by someone else

      1. if there is a locum they should be easily be able to select the physician they are covering for in the even the admin user is away.

    2. Instead of "Clinicians" > Change the name to "From" or "Created By"

  2. "Group Task" replying or forwarding to a group task should NOT create a duplicate Task with an additional action. This is a harmful workflow. Why should the user do the same action twice to achieve the first action they completed.

    1. ISSUE: a user adds a note to a task, and "reply all" > completes "group task". the user then has to complete the original task and reply all task for this to reflect the group action

    2. INSTEAD of reply, reply all & forward > add "Note Notification". This will not create multiple threads of Task like emails. Instead keep all actions of the same Task within the task itself.

    3. NEW: Note Notification will "bold" or highlight the original task stating to users there is a new action.

    4. NEW: If the status is changed within a Group Task, this should reflect all users. Also displaying with the "note" field. "[x] user changed status to "in progress".

    5. NEW: If the task is deleted/archived display this for all users. "[x] user changed status to "completed" (deleted)"

    6. NEW: Add Note > should allow the ability to add new users to the task if needed. BUT, still keep the original users in the task

  3. Allow Custom Task folder, this will allow an easier workflow for group tasks. task must be in status "in progress" by one user to move task to another folder.

  4. DUE DATE

    1. OPTION A: If a Task is set to a future due date, the physicians would like the Task hidden until [x] due date or 14 days prior to the due date.

    2. OPTION B: If a Task is set to a future date, have a collapsible row that displays only future tasks.

      1. to show in collapsible row: future date pertaining to any date after today.

      2. the collapsible row would be specifically sortable by future dates (not pertaining to the whole page/page 2).

      3. the collapsible row would display directly after all current/due or past due tasks

    3. ISSUE: Due Date ONLY sorts via dates on the page. Therefore, if there are multiple pages, the due date will only display ascending/descending to what is on the page. but a later past date may show on a different page.

  5. POP-UP FOR URGENT TASKS. Physicians want to quickly be alerted regarding an urgent task. instead of manually refreshing the communications tab. OR have a clearer and FASTER loading notification for an urgent task on the banner.

  6. GROUP TASK vs INDIVDUAL TASK; The option to change the type of task during an ongoing task should not be allowed. the segregates the users with broken communication. this should be a one-time action during the creation of a task.

  7. START DATE > default current date

  8. TASK within Patient Profile > allow the ability to edit/add a note/respond to [x] users from the patient profile.

    1. as of ow users can only change the status and fax attached items

  9. TASKS sorting via DUE DATE

    1. currently this sorts only by the current page the user is on.

    2. if there are multiple pages, the older tasks will display on further pages. therefore, the user will need to click on each page to ensure the due dates for older messages are completed.

    For number 5 - requested by gmflagora (in Medesync when a communication is very urgent, it pops up in the clinician's screen)

    From client csoasis regarding tasks - she would like to have the possibility to tag colleagues in tasks (this is possible in Accuro) and she liked that feature

    Clinics have also requested that the "recipient" of the task be defaulted, as can be set in their settings. Oftentimes physicians are sending all tasks to their secretary/MOA groups, and they don't want to have to pick the recipient every single time.

    In addition, I've just learned if a task status is not changed but archived or trashed, the users are unable to

    • remove it from trash/archive

    • if a group task the users cannot change the status
